Below is a listing of the online services that Upper School students at St. John's School. These include a brief description of their purpose and links to their privacy policies and terms of services. The core services of FACTS and Google's G Suite for Education are used extensively by all Upper School students. A listing of additional services follows, including services Junior and Senior students use to apply for college. Not all services will be used by members of the Upper School faculty with their students; consequently, the students will not need accounts for all of these services and should not create accounts unless directed by their teachers. In most cases, the teachers or school administrators will create accounts for the students. Whenever possible, the students' Google account for school will be used for registration.

Core Services
St. John's School uses FACTS to manage attendance, academic records, schedules and grading in a cloud-based, student information system. This is the school's official online service for collecting and computing grades, as well as for sharing a student's academic information with the student and his/her parents. Parents' contact information (such as home and email addresses, phone numbers, etc.) is also stored in FACTS and is accessible by the student's teachers. FACTS does not sell personal information to third parties. "All personal information collected is used by our affiliates to perform services, send you information about new products and services, comply with laws or carry out internal functions." Student accounts are created by the Registrar for students in grade 2 and are used until the student's graduation or departure from the school. Google's G Suite for Education student accounts are used for communication, sharing assignments online, and various file creations for school-related purposes. It includes Gmail, Google Calendar, Classroom, Drive, Docs, Sheets, Drawing, Slides, and Sites. Pseudonym-named accounts are created and managed by the school. Additionally restrictions and monitoring of accounts are performed on site. Students are restricted from exchanging emails from outside of our domain but they can publish to the web. Additional Services
Assessment and Learning in Knowledge Spaces (ALEKS) is a web-based assessment and learning system published by McGraw Hill. ALEKS uses artificial intelligence to adapt questions and reinforcements to personalize learning for each user. St. John's used ALEKS for math reinforcement and assistance. The AP College Board website provides students with access to a variety of AP and Pre-AP resources and study tools for different subjects. With an "My AP" account, students can register and pay for the AP tests they plan to take. Students would be better served if they use a personal email address to register for the service to handle test purchases and retain ownership of their AP records. Canva.com is an online graphic design platform with templates for posters, presentations, charts and more. Users can collaborate with others on projects, share links to view their work, download a file version of it, or share it to their Google Drive. Canva can improve the appearance of students' projects, assist those designing posters, etc. for school events, and may be used in classes such as Digital Design. Teachers can sign up for Canva for Education and register the class roster with Google Classroom. The Education version includes more graphics than a regular account; however, in either version, Canva contains some graphic elements for which they charge money to use. Students should only use the free graphics and not purchase graphics without permission from an adult. Students may use their SJS Google account to register with Canva. Desmos has a collection of online calculators and graphing tools for math students. It also has classroom activities that can be shared with students through a Class Code. With Desmos accounts, the students can save their progress in the different activities and access those shared by the teacher. Student accounts should be created using the pseudonym school email account. Desmos does not share or use student data beyond the functionality of the service. Digital Theatre+ provides videos of over 600 award-winning theater productions and related study materials. It is used to study the humanities by our English, drama, music, and history departments. EBSCO provides high-quality information resources and technology solutions to libraries, including research databases, journals, e-books, and more. St. John's School has a subscription that can provide students with EBSCO materials. EBSCO's privacy policy is COPPA compliant. "If a user under 16 years of age wants to use our personalization featrures, we ask the user to register with their first name (not considered personal information by the US Federal Trade Commission) and a unique identifier only." Flipgrid is a video conversation app where students can post short video responses to topics created by the teacher. Teachers create a "Grid" or group of users in the service using the students' Google accounts through Google Classroom. Access to the Grid can be accomplished through a browser or a mobile app and is closed to outside viewers. Students' video submissions can be moderated for review first by the teacher and then released for class viewing. Students can comment on each other's videos. Flipgrid is a subsidiary of Microsoft. Flipster is a digital magazine newsstand service from EBSCO. St. John's librarian can curate a selected list of these digital magazine and make them available to students' through the school's EBSCO account. "Users of all ages can quickly download magazines using the enhanced Flipster iOS and Android apps." Flipster is contained in EBSCO's privacy policy which is COPPA compliant. GeoGebra has over 1 million activities, simulations, and lessons for learning geometry, algebra, spreadsheets, graphing, statistics and calculus. The students don't need a GeoGebra account; teachers can push the GeoGebra activities out to the students through Google Classroom. This will provide GeoGebra with the students' school account names but no other personally identifiable information beyond browser cookies or device information. Privacy Policy - Terms of Service
Gizmos are inquiry-based, interactive math and science simulations for grades 3-12. Teachers can integrate these simulations into assignments and use them to explore concepts. The teacher sets up an online class and adds student accounts. A student first name, last name, and identification number is required, although the student's school account can be used for the username. The students join classes using a class code. Gemini is Google's AI generator. It has a "chat" interface but also can be integrated with other Workspace for Education apps like Gmail and Drive apps. As of August 2024, it isn't available for persons under the age of 18, but will be "in the coming months". It's currently turned off for all SJ student accounts. Haese Mathematics is a publisher of texts used by IB math classes. Snowflake is Haese's online learning platform. Through Snowflake accounts, students can access digital textbooks and other interactives. Student accounts are necessary for subscription services including email to the student's Gmail account. The students' actual names are required for the subscription; otherwise, students' school email addresses will be used. Hypatia is a free extension for the Chrome browser. It allows the insertion and formation of math equations into Google Docs, Slides, and Forms. Upon adding the extension to a Google account for school, it will be accessible in Chrome on any device. Since it is applied to Google files, the extension needs access to the account information and access to Google Drive. Hypatia does not use any other third-party services. InThinking is a subscription-based, digital learning platform that covers a large collection of IB subjects. Teachers set up online classes to share reading materials, assignments, examples, and assessments with students. There are gradebook features to the service which includes the tracking of work and automatic grading. Students can access multiple classes with one account. These accounts can be created using the students' school account names. Student data is used for academic purposes only. Legal
"Japanese" is a language translation app for mobile devices. Japanese instructors either require or recommend students to have the app. Students are able to save notes or words lists, perform dictionary searches, create flashcards, and utilize kanji or kana handwriting recognition. It is available as a free download in the Apple's App Store or in Google Play for Android. The free version of the app does contain ads and in-app purchases. An ad free version is available for several dollars and some features are billed on a subscription basis. Students should refer to their parents for any monetary purchases. Kahoot is a game-based polling app that teachers can use to assess students' understanding through questions or informal quizzes. A student account is not required to play; they will access a Kahoot anonymously with a teacher provided PIN code. Teachers will not use the "player identifier" options. If the parent permits their child to download the free Kahoot mobile app, students may use their St. John's Google account to register. Be advised that with a registered account, students could create their own Kahoots as well as access third party content. Kerboodle is a subscription service for online textbooks published by Oxford University Press. Textbooks can include auto-marked quizzes and resources, such as videos, worksheets and other activities. Since it is a subscription service, the school needs to provide access to student accounts. Khan Academy is a free online platform for learning different subjects. They have instructional videos and a series of practice exercises. Teachers can assign specific exercises and track the students' progress. An account is needed to keep track of progress through the lessons. Khan Academy is a Student Privacy Pledge Signatory. They collect personal information (name, email, & birthdate) for accounts; students' Google pseudonym addresses from school will be used to create the account. Children under the age of 13 are prevented from posting information about themselves; however, be aware that YouTube is the platform used for their videos. YouTube videos allow comments; some comments posted by users may be inappropriate for young students. Students' Khan Academy accounts will be deleted at the end of the school year. Kognity is a web-based service that provides online textbooks for a variety of IB classes. It has additional features including assessments for understanding as well as assessments created by the teacher. The school provides Kognity with the names and school email addresses of the participating IB students. Per our agreement, “The school is the controller of personal data and Kognity is the processor". Kognity's use of students' information is governed by a Data Processing Agreement with the school. MagicSchool is a platform that provides numerous generative AI tools for teachers and students. It is designed to teach users how to use AI responsibly and productively. It include 60+ tools for teachers and "educator monitored tools for students that build AI literacy and skills". OpenStax.org is an online publish of open source textbooks for high school and college students. This is a free service provided by Rice University, a 501(c)(3) non-profit charitable organization. The textbooks are peer reviewed and cover a variety of subject areas. Students can access the textbooks online or download a pdf of it. With a free account, you are able to highlight and save notes to the text. St. John's School will not be using the OpenStax Tutor option which requires a payment. Positive Physics is a platform with interactive questions and videos for learnig physics. Teachers can select material and share it with students in an "online class" through Google Classroom. Quizlet is a flashcard app that can be used for practice or studying. Teachers can create sets of learning materials or employ material created by Quizlet or its partners. Students can use their St. John's Google account to sign up for the service. Quizlet has been awarded PRIVO's Kids Privacy Assured COPPA Safe Harbor Certification. Quizlet requires a parent's email address for children under the age of 13. Quizlet will share a user's personal information with his/her consent for marketing or advertising purpsoses. SketchUp is a browser-based 3D modelling application by Trimble. SketchUp for Schools is a free version that can be integrated with Google Classroom; thus students' Google account pseudonyms are used. Files of work can be saved to Google Drive, exported, or edited at a later date. As such, SketchUp for Schools requires access to Google Drive in the student's school account. Vernier offers software, lab books, sensors and other lab equipment for science education. St. John's science classes use Vernier probes which can be used with the Graphical Analysis app downloaded on a mobile device. This is a free app available on Google Play and Apple's App Store. Vista Higher Learning is a textbook publisher with subscription-based online textbooks. Spanish classes use editions of Descubre and Imagina. In addition, students use e-workbooks with the same titles. Some of the assessments are included in the program along with cultural videos, role play, and oral practice. Vocaroo is a simple, online voice recording service. It does not require an account to use but users must give it access to his/her device's microphone. Recordings can be downloaded to the computer and then shared with a teacher through Gmail, Drive, or Google Classroom. It contains Google Ads and uses cookies. Any past recordings would be saved in a browser cookie; the best practice would be to immediately download recordings and then delete them from the service. Privacy Policy
Zotero is a research tool used for organizing, annotating, and citing your work. It is a free and open-source software that must be downloaded on a computer. Additionally, Zotero Connector extension is another download that allows you to save work directly from your browser. Zotero's program saves data to your computer; it doesn't require an account unless you choose to sync your account with Zotero's servers. The Zotero Connector extension must be given permission to "access your data for all websites" by necessity, but "no data about your browsing activity is stored except when you choose to save a page to either your local or online Zotero library." This online resource is used by Seniors who are applying to any of the 23 California State University schools. It includes resources for financial planning, degree planning and other assistance. Online planning tool for Seniors applying to a group of over 150 Coalition colleges and universities. The information students supply can be transferred to the unique applications of the Coalition schools. Students can upload high school artifacts, such as essays, projects, or records of achievements, to assist their applications. Common App is a web-based service that helps students apply to colleges. The service has a number of features that assist students, including financial plannng, essay prompts, webinars, and such. In Common App, the students build a portfolio of application materials such as grade transcripts, recommendations, esssays, college entrance exam scores, demographic information and more.
